Terms of Service

Last updated August 31, 2026

These Terms of Service ("Terms") are a legal agreement between you and RecFlow ("RecFlow", "we", "us") governing your use of our websites, the organizer dashboard, and the player marketplace (the "Service"). By creating an account or using the Service, you agree to these Terms. If you are agreeing on behalf of an organization, you represent that you are authorized to bind it.

The Service

RecFlow is a platform that lets organizers publish bookable sports sessions, take payment, manage rosters and check-ins, and receive payouts, and lets players discover and book those sessions. RecFlow is not the organizer of any session, event, league, or program listed on the Service, is not a party to the booking contract between a player and an organizer, and does not run, supervise, or insure any activity. Organizers are solely responsible for their sessions.

Accounts

  • You must provide accurate information and keep it current.
  • You are responsible for activity under your account and for keeping your credentials secure. Notify us promptly of any unauthorized use.
  • You must be at least 18 years old, or the age of majority where you live, to create an account.

Organizer terms

Subscriptions and billing

  • Organizer plans are billed in advance on a recurring monthly basis through Stripe. Your subscription renews automatically until cancelled.
  • You authorize us to charge your payment method for the plan fee and any applicable taxes each billing period.
  • You can cancel at any time from your settings; cancellation takes effect at the end of the current billing period. Fees already paid are non-refundable except where required by law.
  • We may change plan pricing or features. We will give you at least 30 days' notice before a price change affects your subscription, and the new price applies at your next renewal.

Booking fees

In addition to the plan fee, RecFlow charges a per-booking platform fee as described on our pricing page. The platform fee applies to paid player bookings and is deducted at the time of the transaction.

Payouts

  • Payouts are handled by Stripe. To receive payouts you must create a connected account with Stripe and accept the Stripe Connected Account Agreement.
  • Funds from player bookings are settled to your Stripe account on Stripe's payout schedule. RecFlow does not hold your payouts, and payout timing is controlled by Stripe and the receiving bank.
  • You are responsible for refunds, chargebacks, and disputes relating to your sessions. We may offset amounts you owe (including chargebacks and fees) against your balance or charge your payment method.

Your responsibilities as an organizer

  • Run your sessions lawfully and safely, including any required supervision, first aid, permits, insurance, and waivers.
  • Set and clearly communicate your own cancellation and refund policy to players.
  • Comply with all laws that apply to you, including consumer protection, tax, and rules on collecting information from minors and obtaining parental or guardian consent.
  • Keep your listings accurate, including price, location, time, capacity, and eligibility.
  • Handle player personal information you receive through RecFlow in line with our Privacy Policy and applicable law; for that information you are the controller and RecFlow acts as your processor.

Player terms

  • The player marketplace is free to use.
  • When you book a session, you enter a contract with the organizer, not with RecFlow. The organizer's cancellation and refund policy applies.
  • Payments are processed by Stripe. You authorize the charge shown at checkout, including the session price and any fees disclosed to you.
  • You are responsible for meeting any eligibility or health requirements for a session and for your own conduct at it.

Acceptable use

You agree not to:

  • use the Service to break the law or infringe anyone's rights;
  • post false, misleading, or fraudulent listings, or take bookings you do not intend to honor;
  • interfere with or disrupt the Service, probe or scan it for vulnerabilities, or bypass its access controls;
  • scrape or harvest data from the Service except as expressly permitted;
  • upload malware or use the Service to send spam;
  • resell or provide the Service to third parties except as intended for serving your own players.

We may suspend or terminate accounts that violate these Terms or create risk or legal exposure for RecFlow or others.

Refunds and disputes

Refunds for player bookings are governed by the organizer's stated policy and are issued through Stripe. RecFlow can assist with processing a refund at an organizer's direction but is not responsible for an organizer's refund decisions. If you believe a charge is wrong, contact the organizer first; if that does not resolve it, contact us at support@recflow.us.

Intellectual property

RecFlow and its licensors own the Service, including its software, design, and trademarks. We grant you a limited, non-exclusive, non-transferable, revocable right to use the Service as permitted by these Terms. You keep ownership of the content you submit (such as listings, logos, and descriptions) and grant RecFlow a worldwide, non-exclusive, royalty-free license to host, display, and use that content as needed to operate and promote the Service.

Third-party services

The Service relies on and can connect to third-party services, including Stripe. Your use of those services is governed by their own terms, and RecFlow is not responsible for them.

Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. RecFlow does not warrant that the Service will be uninterrupted, secure, or error-free. RecFlow is not responsible for the conduct of any organizer or player or for any injury, loss, or damage arising from a session booked through the Service.

Limitation of liability

To the fullest extent permitted by law, RecFlow and its officers, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenues, data, or goodwill. RecFlow's total liability for any claim arising out of or relating to the Service will not exceed the greater of (a) the amount you paid RecFlow in the 12 months before the event giving rise to the claim, or (b) US $100. Some jurisdictions do not allow these limits, in which case they apply to the maximum extent permitted.

Indemnification

You will indemnify and hold harmless RecFlow from claims, damages, liabilities, and expenses (including reasonable legal fees) arising from your use of the Service, your sessions, your content, or your violation of these Terms or of any law or third-party right.

Termination

You may stop using the Service and close your account at any time. We may suspend or terminate your access if you violate these Terms, if required by law, or if your account creates risk to the Service or others. On termination, your right to use the Service ends; sections that by their nature should survive (including fees owed, disclaimers, limitation of liability, and indemnification) will survive.

Governing law

These Terms are governed by the laws of the State of Minnesota, USA, without regard to its conflict-of-laws rules. The state and federal courts located in Minnesota will have exclusive jurisdiction over any dispute that is not subject to small-claims court, and you consent to their jurisdiction.

Changes to these Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or through the Service before they take effect. Continuing to use the Service after changes take effect means you accept the updated Terms.
